Job Summary

Under the general supervision of the HR Employment Supervisor, the Employment Specialist coordinates and oversees the entire new hire onboarding process from the beginning to the end, meeting both the needs of the new hire and hiring manager. They troubleshoot issues and ensure completion of all new hire documentation within HR systems. They serve as the primary contact to new hires and guide them through the entire hire process. They share responsibility of new hire visits and assist with responsibilities in organizing and facilitating the monthly New Employee Orientation. Additional responsibilities include but are not limited to: initiating the offer within BrassRing, authorizing and verifying background check results, generating an employee identification number, coordination with Occupational Health Services, verifying and processing of employee database changes (Management Actions), verifying experience in the Registered Nurse (RN) and Patient Care Technical (PCT) experience forms, verifying and approval i9 documents, primary source licensure verification, generating welcome letters, facilitating employee transfers within Health and other UC’s, reviewing and consulting departments on appointment changes, funding/allocation changes, and tracking and processing sign on and employee referral bonuses. In addition, the Employment Specialist reviews and analyzes union contracts for every employee to determine correct seniority date, probationary period, and all other questions and concerns raised related to contract language during all phases of employees’ work cycles. The Employment Specialist will also be one of the main contacts to oversee Joint Commission files.

The Employment Specialist serves as tier 1 support to new hires, employees and department managers on issues related to Human Resources transactions, payroll, benefits, employee apparel program, HBS timekeeping, pay rates, etc. They partner closely with Talent Acquisition, Compensation, Benefits and Leave Management, Occupational Health, Labor and Employee Relations, Human Resources Information Systems (HRIS), Hitachi, HBS Processing Center, UCPath Center, Payroll and Campus Human Resources.

The Employment Specialist performs other duties as assigned.

Required Qualifications

Bachelor’s Degree in a related area and/or equivalent experience/training
1 year of applicable work experience in Human Resources or customer service related role
Strong verbal/written communication skills to provide excellent customer service.
Proficiency in MS Word, Excel, Outlook, PowerPoint and Adobe Acrobat
Ability to effectively utilize multiple systems, including web-based systems to perform daily work
Ability to work effectively in a team environment
Ability to work with confidential and sensitive information in a discrete and professional manner
Excellent organizational skills, ability to multitask and manage deadlines
Excellent customer service and organizational skills
Ability to utilize an applicant tracking or Human Resources System

Preferred Qualifications

Prior experience performing recruitment support for a high-volume department
Prior project management experience
Prior experience with BrassRing/People Soft (UCPath)
HR Certificate (PHR)
