Job Description:

Oversees the administrative aspects of an office (or department) by performing complex secretarial and administrative duties, responsible for relieving an administrative official of operational details, and assuring efficient office operation, organizing and managing events.

Job Duties as an Administrative Assistant I to School of Arts and Sciences.

· Maintains daily operations of the office which may include supervising support staff and students and conducting necessary office training.

· Communicates and assists students, faculty and administrators on University policy matters.

· Gathers information and prepares various reports, correspondence, and memorandums; researches and resolves issues.

· Supports organizing and publicizing annual events within the School of School of Arts and Sciences for the Lawton, Duncan, and Claremore campuses and their communities.

· Develops relationships with vendors and expedites development of contracts.

· Prepares special or confidential reports and assists with projects or surveys.

· Assumes responsibility for office processes and oversees projects through to completion.

· Maintains files and appointment and event calendars.

· Greets and screens visitors and phone calls; relays messages, responds or takes necessary action or refers to appropriate person for resolution.

SUPERVISION:

Reports to the Dean of the School of Graduate and Professional Studies and Acting Dean to the School of Arts and Sciences.

MINIMUM QUALIFICATIONS:

1. Graduate of a standard high school or equivalent.

2. Ability to coordinate and manage complex processes.

3. Ability to type fifty (50) words per minute.

4. Proficiency in the use of Microsoft PowerPoint, Excel, Word, Access Database, Adobe Acrobat PDF accessibility software or equivalent.

5. Thorough knowledge of spelling, punctuation and grammar.

6. Strong interpersonal skills

7. Superior customer service skills

8. Demonstrated ability to work in web-based computer programs such as Banner and information scanning systems and to improve efficiency within an office environment using such technologies.

9. Ability to handle multiple tasks in a variety of areas.

PREFERRED QUALIFICATIONS:

1. 3-5 years of experience relative to administrative and/or project management and/or training programs.

2. Demonstrated ability to work in web-based computer programs such as Banner and information scanning systems and to improve efficiency within an office environment using such technologies.

PHYSICAL REQUIREMENTS:

Ability to lift objects under 15 pounds including using the upper body to raise objects from a lower position to a higher position; ability to reach including extending the arms and hands; ability to stand for short or extended periods of time; ability to engage in repetitive motions including finger dexterity; ability to speak, hear and see; ability to crouch, climb and walk stairs.

SALARY:

Commensurate with education and work experience.
