The unit reports to the directly to the Chancellor.
OCM promotes the mission of the University to internal and external constituencies to foster public and private support. The department is responsible for the strategic management of overall public relations, internal communications and public affairs activities for NCCU. OCM provides leadership and services to communicators across campus and creates a unified campus-wide communications strategy. The unit also manages negative issues affecting the University’s reputation and public image. Primary Purpose of Position This position will report directly to the Chief Brand Officer in areas of executive support, administration and office management. This position will independently implement the systems and procedures required to organize all meetings, projects and activities related to the responsibilities of the Chief Brand Officer’s office. This position will ensure the workflow continues according to office guidelines, independently answering internal and external inquiries using the knowledge and critical thinking necessary to make sound judgments on routine and urgent matters. It will be important for this position to develop a strong working knowledge of all aspects of Communications and Marketing. Open communication is essential for this position. Required Knowledge, Skills, and Abilities Interpersonal Skills: The employee must have excellent analytical, interpretive and listening skills. Strong communication skills (verbal and written) are a must for interaction with others. The employee must be able to work independently with little or no supervision in order to complete all tasks and duties within prescribed deadlines, whether requested outside the office or self-imposed.
Knowledge-Program: This position will require an understanding and knowledge of the university and Communications and Marketing.
Problem Solving: This position requires the ability to plan, organize, and follow through with minimum direction. A detail-orientated, conscientious and self-motivated person with the ability to respond to reporting needs with little or no notification.
Planning and Organizing: This employee must possess good project management skills, time management, and computer skills.
Communication-Written: This position will deal with a variety of issues and must have the ability to clearly and concisely convey information (electronically and verbally) to individuals and/or groups to ensure they understand the message.
Information/Records Administration: This position will require an understanding and knowledge of the university, the communications and marketing office. This position will be a primary resource for Communications and Marketing inquiries. This position will respond to a variety of issues and must be able to analyze and respond to requests. This position must have the ability to interpret policies and procedures.
Budgeting: This position will reconcile the expenditures of the Chief Brand Officer. Minimum Education/Experience High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate’s degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor’s degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience..All degrees must be received from appropriately accredited institutions. Serve as a member of the public records team that develops strategy and drafts records and responses. Manages the Chief Brand Officer’s calendar daily, hourly. Makes critical decisions on behalf of Chief Brand Officer regarding schedule. Arranges travel and itineraries for frequent business meetings by the Chief Brand Officer, chancellor and other attendees. Identify high priority and sensitive matters that require timely attention of the Chief Brand Officer or the Chancellor. Initiate calls to appropriate offices for scheduling and following up with confirmation verbally or in writing. Reconcile expenditures for the Chief Brand Officer. Determines the action of mail received. Gathers information and data for the Chief Brand Officer and others as needed for many topics relevant to Communications and Marketing. Composes and edits material to reflect style of the Chief Brand Officer. Required Competency Work Coordination/Planning Duties Executive Support: Manages monthly campus Communications meetings Manages monthly department staff meetings Manages monthly reports (written) to various campus entities (Communications updates) Supports the Communications and Marketing team with travel, expense reports, and calendar management; closely coordinating the Chief Brand Officer’s and Director of Marketing’s schedules to help maximize efficiencies. Supports Chief Brand Officer with coordinating HR meetings, reports, performance reviews, etc. Supports Chief Brand Officer with accounts payables and accounts receivables. Provide general office support for Communications and Marketing staff.
