Florida A&M University's Office of admissions is pleased to announce the acceptance of qualified applications for the Assistant Director, Admissions & Registration vacancy. The incumbent serves as the Assistant Director of Undergraduate Admissions Operations, reporting to the Director of Admissions.
Responsibilities
The Assistant Director of Undergraduate Admissions Operations plays a key role in the efficient and organized functioning of the admissions department. This position involves overseeing application processing, CRM systems, document management, staff supervision, and data analysis to ensure a smooth admissions process; The Assistant Director of Admissions Operations collaborates with various stakeholders to maintain compliance with institutional policies and regulations while providing exceptional service to prospective students; Oversees the accurate and timely processing of incoming applications, including verification of application materials, transcripts, and supporting documents; and collaborates with IT or systems teams to ensure the functionality and usability of admissions software or databases.

Develops and implements efficient workflows for application processing, document tracking, and communication with applicants; Monitors and optimizes the admissions process to minimize bottlenecks and improve turnaround times; Maintains and manage admissions databases, ensuring data accuracy and security; Generates reports and analyze admissions data to inform decision-making and assess enrollment trends; Develops and maintain document management systems to securely store and retrieve application materials and student records; Ensures compliance with data privacy regulations, such as FERPA, in handling applicant information; Coordinates communications with applicants, including sending acknowledgment letters, requests for additional materials, and decision notifications; and manages email campaigns and other communication channels to keep applicants informed.

Trains and supervise admissions staff responsible for processing applications and documents; Conducts regular performance evaluations and provide feedback and coaching to team members; Stays updated on relevant admissions policies, regulations, and industry best practices; Ensures the admissions process complies with institutional, state, and federal regulations; Collaborates with IT departments to integrate admissions systems with other university software, such as student information systems (SIS) and CRM tools; Explores opportunities to enhance the use of technology in admissions operations; Addresses inquiries and concerns from applicants, parents, and guidance counselors promptly and professionally; Works to create a positive and supportive experience for applicants throughout the admissions process; and assists in managing the admissions operations budget, including allocating resources effectively.

Develops contingency plans and goals for handling unexpected challenges or disruptions in the admissions process; Generates and presents reports on admissions metrics, such as application numbers, yield rates, and applicant demographics, to inform strategic planning; Identifies areas for process improvement and automation to increase efficiency and reduce errors; Implements and monitors quality control measures to ensure accuracy and consistency in admissions operations; Collaborates with other departments, such as financial aid, enrollment management, and academic departments, to ensure a coordinated and efficient enrollment process; Assists in the planning and execution of admissions events, such as open houses, orientation sessions, and campus tours; and performs other related duties as assigned by the Director.

Minimum Qualifications
Bachelor's degree in appropriate area of specialization and four years of related experience; or master's degree in appropriate area of specialization and two years of related experience.

Pay Plan
This is an Administrative and Professional (A&P) position.
Conditions of Employment
Successful candidate is subject to a pre-employment screening which includes a review of criminal records, reference checks and verification of education. An official college transcript, a high school diploma, or other educational documents must be submitted, where applicable, at the time of employment.
