Library Associate – Preservation Lab, Center for Archival Collections

Work Schedule: 24 hours a week to be scheduled Monday - Friday, 8:00 am - 5:00 pm

Work Location: NWO Regional Book Depository

Position Summary: Under the supervision of the Reformatting Specialist, the Micrographics Assistant serves as a resource person related to the scanning and microfilming services performed by the Preservation Lab for internal and external customers.

Essential Duties, Tasks and Responsibilities

  • Prepare records for scanning or microfilming by creating an index, paginating and disbinding where necessary, and creating identification targets
  • Process manuscript collections according to the Center for Archival Collections’ Processing Manual following the processing plan established by the Reformatting Specialist and the Curator of Manuscripts
  • Create descriptive finding aids for manuscript collections following the established guidelines and procedures of the Center for Archival Collections
  • Scan or microfilm records, following approved processes and keeping a production log of all work done
  • Quality control scans for accuracy
  • Prepare and transfer scans to microfilm
  • Process microfilm
  • Quality control microfilm according to current ANSI standards, including density, resolution, and image quality and completeness
  • Create research copies of microfilm
  • Scan microfilm negative rolls according to current standards and within the parameters of copyright law
  • May provide functional supervision and assist with training student employees.
  • May work with current and potential customers in the absence of the Reformatting Specialist by discussing services and pricing, providing quotes, preparing contracts, and providing reference services from materials at the lab for reformatting. Conducts financial transactions and creates invoices.
  • Perform customer service duties by acting as point of contact for the dropping off and picking up of customer records at the Preservation Lab
  • Perform customer service duties by traveling to the customer for records pickup and/or delivery
  • Assist in maintaining environmental control of the microfilm vault which includes monitoring daily temperature and humidity readings and emptying dehumidifiers
  • Performing inventory of the microfilm vault contents
  • Assist in maintaining the microfilm vault database
  • Research newspaper copyright status for microfilm scanning projects
  • Assist with maintaining and repairing equipment

  • Ability to operate computers and peripheral equipment such as printers
  • Ability to draft office correspondence

Minimum Qualifications

Required Experience

One year related experience required

Required Education

High school diploma or GED requiredMust have and maintain a valid driver’s license and be insurable under the University’s insurance

Preferred Qualifications

  • Strong attention to detail and ability to maintain focus on detailed tasks over long periods
  • Experience with Microsoft Office programs (Word, Excel, and Access specifically)
  • Excellent customer service skills
  • Experience using dark room chemicals and equipment
  • Experience with microfilm equipment or film photography
  • Experience with document scanning equipment, digital photography and image file formats
  • Experience using Adobe Acrobat, ABBYY FineReader, Microsoft Sharepoint


Part-time classified staff position. Page grade 26/$16.21/hr. Full benefits package available.
