Position Summary:
This position has overall administrative responsibility for planning and coordinating admissions, registration, records, referrals, degree audits, transcripts, credit evaluation, and prior learning assessment for students on TCC’s correctional campuses at the Washington Corrections Center for Women (WCCW) in Gig Harbor and the Mission Creek Corrections Center for Women (MCCCW) in Belfair. This position reports to the Dean of Corrections Education.

This position is designed to fulfill in part a contract awarded to Tacoma Community College (TCC) by the Washington State Board for Community and Technical Colleges (SBCTC) to operate a correctional education program in accordance with an interagency agreement with the Department of Corrections (DOC). TCC and its employees working in corrections education are expected to follow all DOC policies, training, security requirements, and institutional mandates. Individuals with lived experience are encouraged to apply.
Essential Functions
Administrative Support

Monitor student electronic records for TCC.
Coordinate distributions to/from the Corrections Education Department.
Assure the integrity, security, and confidentiality of student records in compliance with federal and state laws, including FERPA.
Consult with the Program Manager, Counselors, and Navigators to recruit students and build program referrals in OMNI (DOC’s management system).
Serve as the division subject matter expert for ctcLink - manage and document processes, assist in resolving issues, answer questions, troubleshoot issues, recommend solutions.
Collaborate with the Program Manager to schedule and proctor GED testing.
Maintain accuracy of class and grade rosters

Database Management
Manage student records in OMNI - including building and filling classes, monitoring the RPM/Callout system, posting certificate/degree completions, and managing waitlists.
Coordinate and maintain accuracy of the department’s Quarterly Database
Oversee the evaluation and posting of accepted credits transferred and the evaluation of credits for credentials, and ensure compliance in the awarding of degrees, diplomas, and certificates.
Oversee the Transcript Tracker.
Enrollment and Registration
Promote and present information on student education programs and pathways through student orientations.
Oversee all aspects of the enrollment process, including credentials evaluation, prior learning assessment, and incoming/outgoing transcripts.
Coordinate activities with the Registrar’s office on the TCC main campus to troubleshoot concerns, maintain accurate records, and resolve issues.
Manage College ctcLink systems including registrations, degree audit (Academic Advisement Report), grading, drops, beginning and end of quarter processes.
Oversee the open and close dates for input of grades into ctcLink.
Process departmental add/drop and registration forms.
Run and filter ctcLink and OMNI queries to develop a variety of reports related to strategic enrollment management and planning.
Other Functions
Participate in professional development activities as needed.
May serve on councils and committees as requested or assigned.
Perform other duties as assigned by the Dean of Corrections Education
Qualifications
Minimum Qualifications

Associates degree from an accredited college or university
Two years’ experience in enrollment or student support services or related duties as listed on the recruitment announcement.
OR equivalent combination of education/ experience
Experience with word processing and spreadsheets using MS Word and Excel.
Experience working with and providing services to underrepresented populations.

Preferred Qualifications
Experience with database management
Experience administering standardized assessment tools such as GED and Accuplacer
Experience in a community college environment.
Experience working in a correctional environment.
Knowledge of PeopleSoft/ctcLink system.
Conditions of Employment
Successful completion of a criminal history background check prior to employment.
Attend and successfully complete the Department of Corrections trainings (NHO/CORE).
