Job: Administrative Assistant, Beyond Barnard The Administrative Assistant will support the Associate Director of Internships and Student Employment. Assistant performs all necessary clerical and administrative tasks to coordinate the details of several programs, as outlined below. Additionally, the Assistant supports the Associate Director and collaborates with the Partnerships and Employer Relations Team in the planning and execution of presentations and events that are necessary for promoting Beyond Barnard’s programs and contributing to student experience. DUTIES & RESPONSIBILITIES: 1. Coordinate all Beyond Barnard Internship Program grant review processes (and related initiatives supported by grants and donors). This includes, but is not limited to, collecting student grant applications, contacting students if additional information is required, confirming assignments of grant funding, coordinating logistics for all related events, and maintaining detailed records of current and previous recipients of awards. 2. Support the Associate Director of Internships and Student Employment in updating the BBIP yearly programming calendar, and in the planning and execution of events and programs that complement student employment initiatives and internships. 3. Act as first point of contact for email and phone correspondence for internship supervisors, community partners, students, alumnae, and other stakeholders, including answering inquiries (phone and email) and providing additional information about Beyond Barnard programming. Coordinate with staff to facilitate connections among a range of supervisors, students, and alumnae with other resources at Beyond Barnard. 4. Provide general information and assistance to participants in student employment opportunities and all Beyond Barnard internship programs. 5. Maintain records of internship sites, community partners and other student employment supervisors as appropriate, as well as participants in Beyond Barnard’s internship programs. Manage and update lists of contacts at organizations. 6. In coordination with the Associate Director of Student Employment and Internships, gather and provide the Office of Alumnae Relations and Development with information regarding participants within the program including resumes, thank you letters, and other documents. 7. As a member of the Partnerships and Employer Relations team, attend meetings, staff events, and support the coordination of relationships with employers and other partners as appropriate. 8. Provide backstop support on the administration of student employment and internship program paperwork, particularly during the busiest periods on Beyond Barnard’s calendar (the start of each semester and summer). 9. Collaborate with the Beyond Barnard team in the execution of programming that supports student employment and internship initiatives. 10. Staff the Beyond Barnard front desk as needed. 11. Other duties as assigned. Salary: $31.25 - $31.25/hr Skills, Qualifications & Requirements: Bachelor’s degree and 1 to 3 years’ related experience in an office setting required. Strong organizational and quantitative skills Attention to detail Good communication skills, both written and verbal Good interpersonal skills and an interest in helping students. Demonstrated excellent database, spreadsheet, and word processing computer skills and experience, as well as excellent and accurate data entry skills.
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training.
