The individual in this position has considerable latitude for exercising judgment and discretion in the handling of complex and sensitive materials to ensure the smooth and efficient operation of the office.
Serves as department receptionist, greeting incoming visitors, processing mail, answering the telephone, providing information, referring callers/visitors to appropriate personnel, and independently handling inquiries to reduce the need for additional calls on the same issue. Schedules and maintains the calendar of events for the Provost. Prepares the university’s class schedule in Banner and works closely with chairs/deans to update the class schedule as needed and maintains the university classroom chart. Processes curriculum/course changes in Banner and the academic catalogs, and updates the undergraduate and graduate catalog with needed revisions for publishing. Coordinates communications such as newsletters, presentations, and outreach events on an ongoing, as-needed basis. Maintains departmental website. Completes special project assignments as assigned by the Provost to facilitate academic operations. Organizes Academic Council meetings by reserving meeting space, sending out notices for meetings, preparing the agenda and preview documents, taking/preparing/publishing minutes, and preparing the Provost’s binder before each meeting. Posts leave time for Academic Affairs and Provosts Direct Reports and serves as Proxy for Provost. Supervises Student Workers and processes paperwork. Performs secretarial functions including composing and typing letters, memos, and reports for excessive absences, plagiarism reports, faculty development funding, and other reports as requested. Prepares and maintains the budget account for the Kent and Janice Wyatt Faculty Development Fund. Inventory and order office supplies. Qualifications Bachelor’s degree.
Ability to interact with a diverse community of administrators, faculty, staff is essential in this position.
Excellent oral and written communications skills; proficiency in Microsoft Office Outlook, Word, and Excel. Experience with Banner administrative software is preferred. Excellent organizational skills and high attention to detail are required. Salary Commensurate with experience, qualifications, and university’s resources.
